File Sharing Options for Your Business

OneDrive and SharePoint Team Sites make File Sharing Easy

There are enough data storage and sharing options to make anyone’s head spin. Onehub, Slack, Dropbox, Samepage, and others can be used, but they’re not robust enough for the purposes a professional organization often needs.

Thankfully, Microsoft Office 365 has two primary options for data sharing that make collaboration fast and straightforward. OneDrive and SharePoint team sites are excellent options to give you and your organization a seamless experience.

OneDrive is a service for hosting files in the cloud which is available for free to anyone with a Microsoft account. It allows users to store, sync, and share files with other devices and people on the internet. If you’re using Windows, these files can be accessed directly from the operating system. If you’re using not using Windows, you can still access your data from a web browser.

The SharePoint team site is a feature of Office 365 that allows you to create a website where you and your entire team can openly share information from any device anywhere. On the site homepage, you can see links to team files, webpages, and even apps. You can also monitor recent activity.

With so many tools, it is difficult to know which ones would best suit you. Is one better than the other? How do you make this decision?

We are here to help you make that decision. Both tools have their own merits and are incredibly useful for separate reasons. One does not replace the other; they each have their strengths.

Files saved to OneDrive are private until shared, making it a perfect place to save files you have no intention of sharing or only need to be shared with a limited group of individuals. Of course, if your organization doesn’t have a SharePoint team site to use, or any other large-scale file sharing system, OneDrive’s shareability still makes it an excellent place to keep files that require a team effort to complete.

Major work projects, documents or high priority briefs, often require numerous edits, with many eyes on them, and benefit from extensive team collaboration. If you are sharing many of these documents, with several contributors and editors, you are best served if you are on a SharePoint team site.

Sharing files on a team site is seamless and doesn’t require one admin to hand out permissions to relevant users. If someone has access to the team site, they have access to the files on it. This is especially handy if the site is used extensively, because other files relevant to the project will also be present, making them quick and easy to find.

Using data sharing methods like OneDrive and SharePoint will help increase your efficiency. If you are still unsure which data-sharing program would best serve you, or you would like a professional to help you set up a SharePoint team site, OneDrive, or any other data sharing software we would be more than happy to help.
